By booking corporate membership or any form of sponsorship/exhibition for ISUOG activities in 2025, you agree to the following terms and conditions:
1. Definitions and general:
- These terms and conditions apply from the time of booking until the closure of the Activity
- All ISUOG Sponsors/Exhibitors must adhere to the ISUOG Code of Conduct. ISUOG reserves the right to revoke access to an Activity at its sole discretion, including for any inappropriate conduct or breach of these terms and conditions and Code of Conduct
- All ISUOG Sponsors/Exhibitors agree that these terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom, and that all disputes arising out of or in connection with this agreement shall be finally settled under British law
- In these terms and conditions, the term “Activity” refers to any event/initiative available for corporate membership/industry partnership/ sponsorship/ exhibition in the ISUOG 2025 calendar as detailed in the industry prospectus (including the Congress, Conferences, Webinars and Partner Events)
- The terms “Sponsorship” and “Exhibition” refer to ISUOG Activities and the Exhibition being held in conjunction with an Activity (defined above). The term “Sponsor” or “Exhibitor” includes any person, firm, company or corporation and its employees and agents to whom space(s) has been allocated for the purpose of exhibiting (physically and/or virtually) and/or who qualifies for a corporate membership/industry partnership/sponsor package by reaching a certain level of financial investment in an Activity as detailed in the industry prospectus
- The term “Organisers” means The International Society of Ultrasound in Obstetrics and Gynecology (ISUOG) Organising Committee/staff
- The term “Premises” refers to those portions of the stated onsite venue licensed to the Organisers. The terms “App” and “Platform” refer to any product(s) used to present parts of the Activity digitally, if relevant
2. Payments and schedule:
- The Organisers can accept payment in GBP. The Organisers can also accept payment in USD upon request/approval. The exchange rate will be based on the Oanda rate applicable on the day of receipt of funds. The Organisers will pass on costs incurred for payment of fees in any currency other than Pound Sterling (GBP £)
- 25% of the total cost is payable on application for any Activity
- All invoices must be paid in full 2 months prior to the Activity’s start date*
- The Organisers reserve the right to retain all fees in the event of the Sponsor’s/Exhibitors’ non-participation of any Activity
*World Congress only: the full balance is payable by 14 May 2025 to take advantage of the 10% early bird discount. Fees are based on the date of receipt of the payment. Payment must be received before midnight, UK time, on the relevant deadline date (e.g. the early bird deadline), otherwise, the higher fee will be applied. Any build-up or participation in the Congress will not be allowed if any balance is outstanding.
IMPORTANT NOTICE: Please be aware of the increase in cybercrime and fraud, and be vigilant when reviewing any invoices you receive. If you receive an invoice pertaining to be from ISUOG that contains different bank details to those you have already been given, or a sudden request for urgent payment, or the invoice is sent from an email address other than those ending in @isuog.org, please contact our Finance team immediately by phone (+44 (0)20 7471 9955) or email [email protected]) to check the invoice is valid. The organiser will not be liable for any monetary loss caused by hacking and/or fraudulent invoices. In the case that this happens, any outstanding payments for sponsorship/exhibition packages will still be due. It is the responsibility of the sponsor/Exhibitor/Sponsorto carry out due diligence and contact the organiser when there is any doubt about the legitimacy of invoices or other payment requests.
3. Activity alterations:
The Organisers reserve the right to change an Activity program and layout/format (including Exhibition*) if necessary due to unforeseen circumstances. In these instances, the Organisers will endeavour to ensure that the Activity packages are discussed with the Exhibitor/Sponsor and that the packages remain as close to what has been previously agreed as possible. The Organisers reserve the right to change the dates of an Activity. In these instances, all Exhibitors/Sponsors will be offered the opportunity to transfer their package to the new dates. If the Exhibitor/Sponsor is unable to make the new dates, they will be offered the opportunity to transfer their package to another ISUOG Activity. If there are components of their package which cannot be incorporated to the new format, the Exhibitor/Sponsor will be offered a refund on these items only.
*World Congress Exhibition specifically: The Organisers reserve the right in unforeseen circumstances to amend or alter the location of Exhibition stands without any financial implication to the Organisers. The Exhibitor/Sponsor undertakes to agree to any alteration to the site or the space re-allocated by the Organisers.
4. Activity cancellation:
All cancellations by Exhibitors/Sponsors must be made in writing to [email protected] for Congress and the relevant contact person for other Activities. Cancellation charges are as follows:
- Seven or more months prior to the Activity – 50% of the contract price
- Six to three months prior to the Activity – 70% of the contract price
- Within three months of the Activity – 100% of the contract price
World Congress only: A minimum 80% refund will be made if the Exhibition space and all Sponsorship packages are fully resold.
Any payments already made to the Organisers over and above the applicable cancellation charges will be refunded. Should monies not, at the time of cancellation, already have been paid to the Organisers the Exhibitor/Sponsor hereby agrees to pay the cancellation fee. If the Organisers must completely cancel the Activity, all Exhibitors/Sponsors will be offered the opportunity to transfer their package to an alternative upcoming ISUOG Activity.
If relevant to the Activity: access to any App or Platform will require the use of Exhibitor’s/Sponsor’s/Sponsor’s computer or mobile device, as well as communications with or use of space on such devices. Exhibitors/Sponsors are responsible for any internet connection or mobile fees and charges that they incur for these. Exhibitors/Sponsors are responsible for using the App or Platform as set out in the instructions provided. In the unlikely event of App, Platform, internet or other telecommunications disruptions during the Activity, no refunds will be given. The Organiser is not liable or responsible for any delay, disruption or disturbance in the operation of the internet or problems caused by your internet service provider or for any telecommunications failures which are beyond our control. If relevant to the Activity package, access to any relevant App or Platform content may be temporarily unavailable during the Activity for updates and critical maintenance of systems to ensure optimal user experience; the Organiser does not guarantee uninterrupted and/or error-free access. The Organisers will endeavour to resolve any such interruptions as fast as possible. These times will be kept to a minimum.
5. Bankruptcy or liquidation:
In the event of an Exhibitor/Sponsor becoming bankrupt or entering into liquidation (other than voluntary liquidation for the purpose of amalgamation or reconstruction) or having a receiver, administrator or trustee appointed over any of its assets, the Organisers shall be at liberty to terminate forthwith, the allotment of Premises and/or App/Platform space (these will be cancelled and all sums paid by the Exhibitor/Sponsor under contract shall be forfeited). The Organisers shall be at liberty to terminate forthwith the contract with the Exhibitor/Sponsor and the terms and conditions relating to cancellation of space set out in the cancellation clause above shall apply.
6. Payment terms and occupation of Premises/App/Platform and/or delivery of Activity packages:
The Exhibitor/Sponsor, agents, employees and contractors may enter the Premises and/or App/Platform only at a time which will be nominated to them for the purpose of stand dressing/fitting and/or set up and staffing. Exhibitors/Sponsors hiring Exhibition space or any other space will be informed of access timings and other processes by the Organisers via the technical manual. Standard Exhibition set-up, live event and break-down opening hours will be confirmed in the technical manual. Additional hours requested by Exhibitors/Sponsors will be subject to the Organiser’s and venue’s approval, cannot be guaranteed and will be subject to additional rental costs. Please note any additional items (for example: cleaning, extra power, extra lighting, extra furniture, extra catering) will be subject to availability and extra cost. In the event of an Exhibitors/Sponsors failing to take possession of its stand or any other sponsored activity, the Organisers have the right to re-allocate the stand or other sponsored activity and all monies paid shall be forfeited. Exhibitors/Sponsors must make their final payment by the date it is due according to their invoice/contract. After this time, and only when monies have not been paid, the stand or any other sponsored activity will be available for sale to another company. All deposits paid will automatically be forfeited and no refund will be made.
No Exhibitors/Sponsors shall occupy Premises and/or App/Platform space or sponsored activity until all monies owing to the Organisers are paid in full. If the Exhibitor/Sponsor fails to comply in any respect with the terms of this agreement, the Organisers have the right to sell the Premises space and/or App/Platform space and/or remove/stop any sponsored activity. The Exhibitor/Sponsor will be liable for any loss suffered by the Organisers as a result and all monies paid by the Exhibitor/Sponsor shall be forfeited to the Organisers. In the event of the Exhibitor/Sponsor failing to occupy the said space by the advertised opening of the Activity, the Organisers are authorised to occupy or cause the said space to be occupied in such manner as they may deem best for the interest of the Activity without refund to the said Exhibitor/Sponsor and without releasing the Exhibitor/Sponsor from any liability within these terms and conditions.
Exhibitors will be advised of when they may commence installation of exhibits. Exhibitors are prohibited from commencing such installation until the time nominated to them. The Organisers will use their best endeavours to adhere to the nominated date for the commencement of Exhibitor’s/Sponsor’s work but will accept no responsibility for any costs, claims or expenses arising from any variation to such date and/or time. All exhibit materials and content will be reviewed by the Organisers. Exhibits which do not reasonably satisfy the Organisers or the Premises shall be modified forthwith by the Exhibitor/Sponsor in such manner and within such time as the Organisers may require. If the Exhibitor/Sponsor uses materials or content which have not been approved, the Organisers may remove such exhibits at the expense of the Exhibitor/Sponsorw ho shall forfeit all sums paid by way of deposit, rental or otherwise. ISUOG will not be liable for any loss caused by this occurrence. An Exhibitor/Sponsor may not display any advertising or promotional content in areas other than their pre-reserved stand, advertising space or other sponsored activity. They shall not erect any sign, stand, wall or obstruction, which, in the opinion of the Organisers, interferes with an adjoining Exhibitor, at the sole discretion of the Organisers. The Organisers reserve the right to moderate and remove any such content. An Exhibitor/Sponsor may not, except by express written permission of the Organisers, display directly or indirectly, advertise or give credits to any products other than their own or those of their named principal. The display of acknowledgement or credit indicating membership of organisations or Trade Associations is not allowed except by express written permission of the Organisers. The Organisers reserve the right to mask or remove from the Premises any product or sign violating this regulation and all costs will be charged to the Exhibitor.
The Exhibitor/Sponsor is responsible for the safety of its products, displays and stand. During build-up and break-down period no material should be left unattended at any time. It is the responsibility of the Exhibitor/Sponsor to leave the stand space clean and tidy during the Exhibition and after dismantling. All exhibits, displays, stand fittings and materials must be removed from the Premises by the time and date stated by the Organisers. Removal of exhibits and dismantling may not commence until after the official closing time. Any special arrangements for installation or removal of exhibits must be with the approval of the Organisers.
The Exhibitor/Sponsor is responsible for the safety of its products, displays and stand. During build-up and break-down period no material should be left unattended at any time. It is the responsibility of the Exhibitor/Sponsor to leave the stand space clean and tidy during the Exhibition and after dismantling. All exhibits, displays, stand fittings and materials must be removed from the Premises by the time and date stated by the Organisers. Removal of exhibits and dismantling may not commence until after the official closing time. Any special arrangements for installation or removal of exhibits must be with the approval of the Organisers.
If relevant to the Activity, Exhibitors/Sponsors will be informed if they can upload materials and content onto the App/Platform as appropriate. The Organisers will use their best endeavours to advise a reasonable deadline for the receipt of Exhibitor/Sponsor content for the App/Platform but will accept no responsibility for any costs, claims or expenses arising from any variation to such deadline. All exhibit materials and content will be reviewed by the Organisers. Content which does not reasonably satisfy the Organisers must be modified forthwith by the Exhibitor/Sponsor in such manner and within such time as the Organisers may require. An Exhibitor/Sponsor may not display any advertising or promotional content in areas of the App or Platform other than their Exhibitor/Sponsor page, advertising space or other sponsored activity. The Organisers reserve the right to moderate and remove any such content from the App or Platform. An Exhibitor/Sponsor may not, except by express written permission of the Organisers, display directly or indirectly, advertise or give credits to any products other than his own or those of his named principal. The display of acknowledgement or credit indicating membership of organisations or Trade Associations is not allowed except by express written permission of the Organisers. The Organisers reserve the right to mask or remove any product or sign and remove from the App or Platform any items or chat-content violating this regulation and all costs will be charged to the Exhibitor/Sponsor.
7. Logistics on onsite Premises:
Badges, access and responsibilities:
- Badges and access: There will be no access to the Activity without a badge. Badges are available via Exhibition/Sponsorship packages and additional badges can be purchased. There are 2 badge types:
- Exhibitor/Sponsor badges: These allow holders to the Exhibition and any relevant meeting room/hospitality suite, not scientific sessions.
- Industry scientific badges: These allow holders to all areas of the Activity, including scientific sessions. These do not include ISUOG membership.
- Visas: It is the Exhibitor’s/Sponsor’s/Sponsor’s own responsibility to check and fulfil any visa requirements for entry into the country of the Activity (and for any other countries that they stop at on the way to the country of the Activity).
- Travel insurance: It is the Exhibitor’s/Sponsor’s/Sponsors own responsibility to arrange any personal travel insurance wanted or needed for entry into the country of the Activity (and for any other countries that Exhibitors stop at on the way to the country of the Activity). It is the Exhibitor’s/Sponsor’s/Sponsors own responsibility to check and fulfil the current travel and testing requirements relating to COVID19 or any other health issues, for entry into the country of the Activity (and for any other countries that they stop at on the way to the country of the Activity), and for return travel to their home country. ISUOG will follow government health requirements at the time of the Activity. Attendees will be required to follow the COVID-19 rules and guidance from relevant authorities and ISUOG. If there are any specific measures in place or changes, we will let you know as soon as we can. If any onsite Exhibitor/Sponsor experiences symptoms of a notifiable disease (including but not limited to COVID-19) immediately prior to or during the Activity, then they must follow the rules and guidance given by the authorities and the Organisers at the given time.
Stand construction and services: For insurance, security reasons and to adhere to regulations stipulated by the Premises, the Organisers will appoint official contractors for all stand construction, all electrical services (mains and fittings) and all ancillary services. Due to the necessity of coordinating all activities during installation and dismantling periods and for security purposes, no other contractors will be permitted to undertake any of this work without prior consent of the Organisers, arranged by deadlines stipulated by the Organisers in the technical manual.
Obstruction of gangways and open spaces: Exhibitors/Sponsors on the Premises will not be allowed to display exhibits in such a manner as to obstruct the light or impede or project over gangways or affect the displays of neighbouring Exhibitors/Sponsors. Gangways must always be kept clear and free for passage. All emergency exits and access to service areas are to be always kept clear. They must not be restricted or rendered unrecognisable. Public gangways shall remain the means of escape even during installation and dismantling periods. Any Exhibitor/Sponsor who continues to cause obstruction or nuisance after notice has been given will be liable to have its stand closed by the Organisers at the Exhibitor’s/Sponsor’s/Sponsor’s expense and risk.
Trade Union labour: All onsite stand fitting, construction or display work should be carried out by members of the appropriate Trade Unions recognised by the relevant host countries’ Exhibition industry at the rates of pay and overtime and conditions in accordance with the terms of the Working Rules Agreement currently in force.
Electrical requirements: Full lighting and power services will be available to the Exhibitor/Sponsor through the official electrical contractor. A schedule of these services and fees will be available once application has been made. Exhibitors may provide their own electrical fittings where such fittings are in the form of made-up units, showcases and/or signs complete and ready for connection to the mains supply, if approved by the official contractors for all stand construction. Electrical devices which interfere with radio or television systems must be switched off immediately if requested by the Organisers. The use of electrical appliances such as coffee makers etc. shall only be permitted if they conform to the conditions concerning electrical appliances as laid down by the Premises, appropriate authority and other statutory bodies. Before such appliances are used, permission must be obtained from the Organisers and Premises. The use of immersion heaters and electric heaters with unguarded elements are not permitted.
Dangerous materials and exhibits: The Exhibitor/Sponsor must conform to the conditions concerning explosives and dangerous combustible materials as laid down by the appropriate authority and other statutory bodies, including the Premises. Any material or exhibit not approved by the appropriate authority or by the Organisers must be removed from the building at the request of the Organisers.
Fire precautions: All material used in construction work display materials etc. must be effectively fireproofed or made of non-flammable materials in accordance with the standards of every appropriate authority and the Premises. Exhibitors/Sponsors must comply with fire prevention and other safety regulations, existing legal regulations and recommendations.
Damage/alterations: It is not permitted to stick or otherwise fix items on any parts of the Premises. Alterations to rented items and fixtures, the bringing of heavy or bulky items or the putting-up of decorations, signs and posters shall require the prior written permission of the Organisers and the Premises. Non-observance of this rule shall entitle the Organisers to remove the items in question at the cost of the Exhibitor/Sponsor.
Catering: The provision of refreshments for ISUOG Activity delegates by Exhibitors/Sponsors is permitted, subject to the catering regulations of the Premises (this will be confirmed and detailed via the technical manual on case-by-case basis). The Organisers are not liable or responsible for the quality and/or quantity of the Exhibitor’s/Sponsor’s/Sponsors refreshments.
Cleaning: The Organisers will arrange for cleaning of the onsite Exhibition aisles outside the Exhibition open hours. Exhibits will not be cleaned. Additional cleaning is the responsibility of the Exhibitor.
Security: The Organisers will monitor entrance to the main onsite exhibition hall during opening hours for the period of the Exhibition but will accept no liability for loss or damage to Exhibitor/Sponsor personnel or property. Additional security is the responsibility of the Exhibitor.
Storage: It is prohibited to store empty containers and packaging of any kind on or off Exhibits/stands. Storage of empty material can be arranged through the freight forwarding company.
Freight and transport: The Organisers will appoint official forwarding agents for temporary importation of goods for the Activity/Exhibition. Overseas Exhibitors/Sponsors wishing to bring in goods or materials for temporary importation must contact the Organisers for details of the official contractor and regulations.
8. Sponsored symposia and scan demonstrations:
- ISUOG approval - Please note any educational activities undertaken by Exhibitors/Sponsors at the Activity Premises for the benefit of the Activity’s delegates are subject to advance approval by the Organisers. Exhibitors/Sponsors will be informed of deadlines/processes for this via the technical manual.
- CME regulations - Commercial support of educational activities must occur within the relevant CME standards governing such activities. The Organiser has to its best ability accounted for any known restrictions within the Activities listed here. However, Exhibitors/Sponsors are informed that entitlements are subject to adjustments as required in line with these regulations. The Organiser will inform Exhibitors/Sponsors as promptly as possible of any such changes.
EACCME regulation on industry communications: EACCME states that "the EACCME© accepts that when a commercial company supports an event, the company can announce the event via their website or social media but not via mailing".
- Scan demonstrations in main scientific program - Exhibitors must email topic and speaker preferences to ISUOG at the time of booking to maximise effective matching of our program options. We always work to ensure optimal matches for scan demonstrations but reserve the right to make alterations to the scan demonstrations topics/faculty as required by the Organisers for the most effective delivery of the scientific program. We endeavour to secure one model and one back-up model per scan but cannot guarantee this. Exhibitors/Sponsors are responsible for ensuring equipment is available prior to the session and removed promptly thereafter according to ISUOG’s AV team’s schedule.
- Scan demonstrations in sponsored hospitality suites - Live obstetric or gynecological scanning is not permitted on exhibition stands. Exhibitors/Sponsors conducting scan demonstrations in hospitality suites are responsible for all necessary arrangements including sourcing equipment, models and the necessary model permissions/consent.
- Scan demonstrations on stands - Live obstetric or gynecological scanning is not permitted on exhibition stands.
- Sponsored symposia - Priority allocation of symposia will be given based on level of sponsorship and first-paid, first served basis. Symposia are organised during lunch breaks or before/after the scientific program, at times which do not conflict with ISUOG’s main scientific program, however we cannot guarantee that other activities will not be running concurrently. Symposia do not form part of the CME-accredited program. Symposia speakers and programs will need program approval by ISUOG by the deadline stipulated in the technical manual. Exhibitors/Sponsors will need to cover the cost of any extra/special room set up they require, and this will be subject to ISUOG’s AV team’s approval and subject to ISUOG’s AV team’s schedule.
- Faculty for sponsored symposia/other sponsored activities – Exhibitors/Sponsors are responsible for arranging the speakers and program and covering their requirements/expenses. This includes Exhibitors/Sponsors being responsible for registering their own faculty for the Activity.
- Exhibitor/Sponsor access to the Activity and Exhibition Space or Hospitality Room - Access to the Activity by any person acting for an Exhibitor/Sponsor is subject to such person presenting proof of registration (i.e. an access badge) issued by the Organiser.
9. Hospitality suites and meeting rooms:
Exhibitors/Sponsors hiring hospitality suites or meeting rooms will be informed of access timings and other processes via the technical manual. Meeting rates are quoted per day for the hours of the scientific program and any set-up days or additional hours requested by Exhibitors/Sponsors will be subject to venue availability and to additional rental costs. Exhibitors/Sponsors will be responsible for any technical and audio-visual set-up, electrical, furnishing, catering and other costs. Exhibitors/Sponsors conducting scan demonstrations in hospitality suites are responsible for all necessary arrangements including sourcing equipment, models and the necessary model permissions/consent. Please note meeting room activities are not promoted by ISUOG in any materials except the floorplan. If promoting your meeting/ other activities is important, you will need to upgrade to a hospitality suite.
Exhibitors/sponsors are asked not to enter other company’s hospitality suites or meeting rooms.
10. ISUOG social media, journal and emails:
Social media and email:
Exhibitors/Sponsors entitled to posts on ISUOG social media or ISUOG emails, will be instructed on character limits, deadlines and processes via the technical manual or the Organisers. All text and design will be subject to final sign off by the ISUOG marketing department. Diamond and Platinum Congress Exhibitors/Sponsors can stipulate the date of their posts (outside of live event dates). All other Exhibitors’/Sponsors’ posts across all ISUOG activities will be scheduled by the ISUOG marketing department. Content should be sent at least 10 days in advance of posting/sending. Exhibitors wishing to use the brand must follow the Activity brand guidelines. ISUOG can offer a design service (at cost) for sponsors for social media materials if desired.
UOG journal:
Sponsors who are entitled to an advert in the UOG journal as part of a corporate membership package or ISUOG activity must provide the content as per the below specifications by the deadline date stipulated by the relevant organising team within ISUOG.
For full-page adverts:
- Trim size 210 x 297 mm
- Resolution must be a minimum of 300 dpi
- Colour must be CMYK (No spot / Pantone colour or RGB colour).
- Black and white ads must be set to grayscale
- Fonts should be embedded/subset and should be PostScript Type1, TrueType or OpenType.
- All transparency and layers flattened.
- Crop and registration marks must be offset 12 pts from bleed. Do not place crop marks within live or bleed areas.
- Do not set white to overprint.
- File Types: PDF only
11. Multiple requests:
If multiple requests for sponsorship and exhibition items are received, the Organiser will prioritise requests by sponsorship level, the date when payment is received and loyalty (previous Activity participation).
12. Conduct of exhibitors, sponsors and representatives:
By sponsoring or exhibiting any ISUOG Activity you (and all company representatives attending the Activity) agree to adhere to the ISUOG Code of Conduct which can be found here.
In addition:

Congress social event program: Exhibitors/sponsors are asked not to host social events that clash with ISUOG’s official Activity social events program, if applicable.

Scientific programs: Exhibitors/sponsors are asked not to host side activities offsite, that clash with ISUOG’s official Activity scientific program, if applicable.

Congress industry program: Exhibitors/sponsors are asked not to enter other company’s industry programs (e.g. hospitality suites or meeting rooms).
13. Data privacy/sharing of personal data:
Onsite: If you hire lead capture licenses/devices and a delegate allows you to scan their badge or otherwise provides their details to you, you will be able to see their title, first name, last name, email, country, company, profession, department, job title, postal address and telephone number, if you are eligible to receive these details as per your package/contract. Once any delegate agrees to have their badge scanned, that Exhibitor/Sponsor becomes a data controller in relation to the shared data. This includes complying by all relevant data protection laws, including having a complaints procedure in place and an option of opting-out of receipt of any communications from you.
As above, if you are entitled to a delegate mailing list as part of your package, the list will contain the following fields: title, first name, last name, email, telephone number, country, city, postal code, company, profession, job title. You will only receive this data from a delegate if they have a) specified it in their registration form and b) opted in to be contacted by specified sponsors and/or symposium sponsors (Congress only). In the data protection addendum, which must be signed to receive any list, ISUOG will specify the number of times the sponsor is permitted to contact the delegates within that list. Exceeding this number without asking the delegate to opt in to the sponsor’s own mailing list first is a breach of GDPR.
Virtual: Depending on the event and your package/contract, you may be able to connect with delegates using the App or Platform. You will be able to see any information they choose to make public on their individual profiles. Their contact details will remain hidden, unless you directly connect with that delegate via in-app message to request them. Once any delegate agrees to connect with an Exhibitor/Sponsor via the App/Platform, that Exhibitor/Sponsor becomes a data controller in relation to the shared data. This includes complying by all relevant data protection laws, including having a complaints procedure in place and an option of opting-out of receipt of any communications from you.
14. Photographs and videos:
During the Activity, ISUOG will take screenshots, photos, recordings and videos during all virtual and onsite activities and sessions. All images and videos become the property of ISUOG. These images and videos will be used by ISUOG for communication and promotional purposes on the website, social media, print materials and other marketing and communications channels. By participating in the Activity and/or other activities, you grant ISUOG the right to use your name, image/photograph and any contribution for such purposes.
ISUOG does not obtain participant’s permission for third parties to use these photos, so the photos are only for ISUOG use, not Exhibitor/sponsor use.
Exhibitors/sponsors are not permitted to photograph/video any ISUOG Activity delegates/participants without obtaining their permission.
15. Liability:
While the Organisers will endeavour to protect Exhibition property whilst on display at the Exhibition, the management of the Premises, the Organising Committee and the Organisers cannot accept liability for any loss or damage sustained or occasioned from any cause whatsoever. Exhibitors will be responsible for all damage to property and for any loss or injury caused by them or their agents or employees and will indemnify the Organisers against all claims and expenses arising there from. In the event of it being necessary for any reason whatsoever for the Exhibition to be abandoned, postponed or altered in any way in whole or in part, or if the Organisers find it necessary to change the dates of the Exhibition or vary the hours the Exhibition is open, the Organisers shall not be liable for any expenditure, damage or loss incurred in connection with the Exhibition. The Organisers shall further not be liable for any loss, which the Exhibitor/Sponsor or Exhibition contractors may incur owing to the intervention of any authority, which prevents or restricts the use of the Premises or any part thereof in any manner whatsoever.
16. Insurance:
The Exhibitor/Sponsor is responsible for the security and insurance of their activity, materials and content on the Premises and App/Platform always, including the activities of third-party suppliers the Exhibitor/Sponsor uses as well. Exhibitors agree to consult their insurance company or insurance brokers to cover themselves fully against any risks associated with their activity at the Premises and/or on the App/Platform. Particular attention is drawn to the need for the following:

Abandonment insurance: The Organisers are not obliged to return any monies paid for space in the event of cancellation or restriction of the Exhibition.

Stand, fixtures and similar insurance: All risks on loss or damage to Exhibitor/Sponsor property, fixtures, fitting and all other property of a similar nature such as personal effects of directors, principals and employees while on the Premises and transit risks from the Exhibitor’s/Sponsor’s Premises to the Exhibition and return.

Public liability: Liability to the public may arise out of Exhibitor/Sponsor activities and all Exhibitors must arrange and provide proof of appropriate public liability insurance to a minimum of two million Sterling pounds. If an Exhibitor/Sponsor is using their own stand company or any other third-party supplier, the Exhibitor/Sponsor must also arrange and provide proof of those suppliers having public liability insurance to a minimum of two million Sterling pounds.
17. General conditions:
The Organisers are responsible for the control of the Premises and App/Platform including the program. Exhibitors are responsible for the control and supervision of their own stands and/or for the creation of content for their stand and any other sponsored activity, and for having this content ready in the appropriate format to upload to the App/Platform or have onsite at the Premises within the guidelines and deadlines communicated by the Organisers. Exhibitors are responsible for the staffing of their own stands and other sponsored activity (such as Satellite Symposia) within the guidelines of the Organisers. The decision of the Organisers is final on any question not covered in the foregoing regulations. The Organisers may add to or vary these rules and regulations and do anything at their sole discretion they deem necessary for the proper conduct of the Activity, provided that such amendments or additions do not operate to diminish the rights reserved to the Exhibitor/Sponsor under this agreement and shall not operate to increase the liabilities of the Organisers. Exhibitors must comply in all respects with the requirement of every appropriate authority, with the Terms of Agreement by which the Organisers may occupy the Premises and Platform and with the policies of insurance effected by the Organisers. The Organisers reserves the right to update the Terms and Conditions. The new Terms and Conditions will be circulated to all Exhibitors. Submission of the exhibition application form confirms acceptance of these Terms and Conditions.
18. Premises and App/Platform terms and conditions:
Exhibitors are responsible for reviewing and complying with the standard terms and conditions of the Premises and/or App/Platform. The Organisers will make every endeavour to make Exhibitors aware of the Premises and/or App/Platform terms and conditions but takes no responsibility for any breach of those terms. The Premises may have fixed suppliers for certain services. In this instance, the Organisers will inform Exhibitors via the technical manual.
19. Disclaimer:
The Organisers will make every endeavour to attract a large and diverse audience to register for the Activity. However, the Organisers cannot accept any responsibly for the numbers of registered delegates attending stands or other sponsored activity (onsite and/or virtually), and no financial compensation can be made to Exhibitors in the event they are not satisfied with the engagement with their stand or other sponsored activity (onsite and/or virtually).
20. Compliance:
Participation in the Activity is subject to the Exhibitor’s/Sponsor’s compliance with all rules, regulations and conditions stated herein and in any other policies of procedures relating to the Activity that the Organiser may from time to time deliver to the Exhibitor, as well as to all national and international rules and regulations related to advertising and promotion of products and services as part of the Activity.
ISUOG strives to hold educational and scientific Activities that are independent and compliant with international exhibition and sponsorship standards and best practices. All Exhibitors participating in ISUOG activities are recommended to consult their internal and external compliance processes as it is their responsibility to comply with any laws or regulations that pertain to their industry. For example, IPCAA (International Pharmaceutical Congress Advisory Association) published at www.IPCAA.org, MedTech Europe published at http://www.medtecheurope.org/ and IFPMA (International Federation of Pharmaceutical Manufacturers & Associations), published at www.ifpma.org, to the extent applicable. Whilst ISUOG will endeavour to support all Exhibitors to meet their own compliance standards whilst participating in ISUOG Activities, ISUOG is not liable in any way for Exhibitors not complying with their legal, ethical and industry standards.
21. Force majeure:
ISUOG cannot be held liable by Exhibitors/Sponsors for the partial or total non-execution or the postponement of any Activities, or for any delay or failure in performing any of its obligations under these terms and conditions, due to events beyond the control of ISUOG including accident, an act caused by a third party or force majeure*. Under these circumstances, ISUOG reserves the right to either retain the fee and to use it for a future Activity, or to reimburse the Exhibitor/Sponsor after deducting costs already incurred for the organisation of the Activity or which could not be recovered from third parties. ISUOG may at its discretion repay the fee or part thereof, but shall be under no obligation to do so and shall be under no liability to the Exhibitor/Sponsor in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by attendee, as the result of the happening of any such event.
*The expression ‘force majeure’ shall mean the occurrence of any act or event which is unforeseeable, insurmountable and outside the control of ISUOG, and which renders ISUOG unable to comply in whole or in part with its obligations under these terms and conditions. Force majeure includes but is not limited to act of God (such as epidemic, tidal wave, lightning, earthquake, hurricane, credible threats of natural disaster in the geographic vicinity), armed hostilities or acts of war (whether declared or not), riots, civil or military disturbances, national, regional or professional strikes (excluding strikes, lockouts and other industrial disputes or actions by, between or originated among the parties), curtailment or interruption of transportation facilities, threats or acts of terrorism or similar acts, pandemic, governmental travel advisory, a governmental elevation of the terrorism alert level, the issue of a Travel Warning by the World Health Organization or any other cause comparable events or disaster beyond ISUOG's control.
