The ISUOG Scientific Committee are grateful to all faculty participating in the World Congress program. Please see below some information to help you plan your participation.
Venue and travel
The Congress will be hosted at the Hungexpo Congress and Exhibition Centre, Budapest, Hungary.
Faculty bus: The Budapest Convention Bureau is generously providing a shuttle from the Corinthia to the Hungexpo and return, for faculty only, as follows:

Corinthia pick up/drop off point: Just outside the Corinthia Hotel

Hungexpo pick up/drop off point: Between Congress Centre (C) and Hall G

Average journey time: 20 minutes

Visas
Important information:
- ISUOG strongly advises that attendees only register for the World Congress once they are confident that they can legally enter Hungary/will be able to obtain a visa in time to do so. Refunds will not be provided to those who have not allowed enough time to have their visa approved.
- It is the attendee’s own responsibility to check and fulfil any visa requirements for entry into Hungary (and for any other countries that attendees stop at on the way to Hungary).
- It is the attendee’s own responsibility to arrange any personal travel insurance wanted or needed for entry into Hungary (and for any other countries that attendees stop at the way to Hungary).

Faculty entitlements
Please refer to your personal invitation letter to confirm entitlements offered to you. If you are unclear on these entitlements or have any concerns, please contact [email protected].
Faculty requirements before the Congress

Confirm the details of the session: Save the date and time of the session in your calendar. Review the session running order and the names of the faculty and presentations. You can find more information about the program here.

Submit your presentation: Please submit your slides in advance through the eOrganiser submissions portal by 27 August. Otherwise, you can submit them onsite at the speaker preparation room (but no later than 3 hours before the session start time).

Connect with faculty: Please feel free to contact us at [email protected] if you would like to be connected with the other faculty in your session.

Complete your declaration form: You must complete the faculty declaration ahead of the Congress. If you have not already done this, then the session hall manager will ask you to complete the form onsite.
Preparing your presentation
CONTENT
-
All content must be presented in English unless instructed otherwise.
-
Do not use too many slides. If your presentation includes lots of slides it can end up being rushed and the audience will not have time to fully digest the content.

Only use standard Windows fonts, ideally Arial.
-
Ensure that your presentation conforms to CME requirements.
-
Ensure the content is relevant and clear on the topic.
-
Please keep to the topic. Please be respectful to all participants of the Congress (regardless of age, disability, ethnicity, nationality gender/identity, sexual orientation, political affiliation, religion, etc) in your presentation.
EMBEDDED MOVIES AND VIDEO FILES

All videos and recordings must be set to play automatically. You won't be able to click to start videos during your presentation.

Ideally all videos should be included on a seperate slide with no other content.

Enhance your presentation by including video clips and images
-
Most video file types are accepted as embedded video clips, e.g. MP4, MPEG, WMV, AVI, QUICKTIME.
-
Make sure to check that the videos are playing correctly before submitting your presentation.
-
If the videos include sound, please flag this with the ISUOG team as they will need to check that the audio plays in the venue.
-
DO NOT include background music in your presentation unless absolutely necessary.
LAYOUT
-
Keep slides simple and concise – do not present too much information on any one slide.
-
As far as possible use just one or two colours on a plain coloured background for maximum impact.
-
If using images or graphics ensure that they are as visible and large as possible on the slide, if you can, please add them to a separate slide by themselves.
PATIENT CONFIDENTIALITY
-
Patient confidentiality is important to all of us and all presenters are responsible for respecting this within their presentation.
-
Please remember you must not include patient data in your images or videos.
-
When inserting images into your presentation, in the event that you crop the image, please ensure you delete the cropped area of the image before saving your file.
-
Please note that cropped edges of images and any content contained in these outer areas (you wish to hide from the final presentation) is searchable in Google
Practicalities on the day

If you have not submitted your presentation before the Congress, please submit in the speaker preparation room G1.
-
NOTE: Faculty must submit their presentations no less than 3 hours before the session start time to allow time for our AV team to prepare it.

If you have any questions about the session or your presentation then please visit the speaker preparation room where a member of our team will be able to support you. Please do this as soon as possible when you are onsite and be aware that this room is not suitable for meetings with other faculty. Please speak to a member of staff if you would like to book a private meeting space in the venue for this purpose.

You must arrive at your session hall at least 30 minutes ahead of the session and check-in with the ISUOG session hall manager in your session hall. It is important that you arrive on time. If you are running late or unable to attend for any reason, please contact our team at [email protected] as soon as possible. ISUOG staff will manage every session hall. When you arrive in the room please make sure to introduce yourself to them. They will be available to answer any questions that you have and will ensure that everything is set up for the session.
Stage setup

All faculty (including chairs) will be seated on the stage.
-
There will be no lecterns. Instead, all faculty will wear a headset microphone. Speakers will have a remote clicker to move through presentation slides. This means speakers will have the freedom to move around the stage and engage with the audience.

Your presentation slides will be loaded in advance and you will be able to move through them using the remote clicker provided. You will be able to see your slides on the comfort monitor located at the front of the stage.
- Session halls - you’ll have a laser pointer to highlight areas of your presentation.
-
Once you have finished your talk you can return to your seat. The session chair will then lead a discussion with questions from the virtual and onsite audience.
Ultrasound demonstrations

In relevant sessions, live ultrasound demonstrations will be taking place in an adjacent room. If you are involved in a scan demonstration (you will have been informed in your personal invitation letter), you should go to this room 30 minutes before the start of the session to preform a pre-scan.

At the end of the scan, you should return to the main stage for the Q&A.
Throughout the session

Please be respectful of other faculty and keep to time. Any talks that overrun will reduce the time for speakers later in the program. If you run over please expect the session chair to interrupt you to ask you to wrap up.

Engage with the audience during your talk.
-
Set a friendly and open tone for the session – we encourage debate but personal, inappropriate or offensive comments are not tolerated. Please remember that all sessions are recorded for the purpose of on-demand viewing.
Technical support
All technical issues will be dealt with by our AV team. ISUOG staff will also be on hand to deal with any issues within the session hall. If you have any concerns during the session please direct these to the session hall managers.
Committee meetings at the Congress

Congress party information
All faculty were invited to attend the Congress party at the Akvárium klub at 19:00 on 17 September 2024 (you were asked to confirm your ticket via your registration form and if you did so, your badge will gain you entry to the party). All registered guests MUST bring their Congress badge in order to enter the party. Guests will be asked to show this on arrival and will be given a wristband which they must keep on their wrist if they intend to leave and return to the venue at any point in the evening.
Transport:
Coach transfers will be provided one-way only from the Congress HQ hotel (the Corinthia) to the Akvarium Klub, departing from 19:00 sharp on the evening of the party. Return transfers will not be provided, as we anticipate that our guests will leave the event at varying times. The venue is very centrally located and guests can make their way back to the hotel the following ways:

Metro line 1: Last train departs at 23:46. Enter at the station Deák Ferenc tér which is right beside the venue, ride 3 stops to Oktogon, walk 5 minutes to the hotel. Total journey time: 11 mins

Walk: A short, simple walk along Károly körút (Karoly Boulevard). Journey time:18 minutes

Taxi/drive: Journey time: typically 5-12 mins
